Every Pitfall You've Hit, Costs You Margin

The hardest part of stock sourcing isn't the goods — it's that they're non-standard, hard to control, and hard to define. These six scenarios are what importers run into most often.

Photos Never Match the Goods

Supplier photos are always better than reality. On-site, you find moisture damage, aging, missing accessories — usable rate only 60%.

Unclear Brand Authorization

"No problem" during negotiation. At export, the hangtags or authorization files are missing. Best case: customs hold. Worst case: IP infringement claim.

Inspection Done by the Supplier

They show you "the best few pieces". Sampling ratio, critical defect definition, defect rate calculation — all decided by the party being inspected.

Mixed Container, Shortage at Destination

Multi-supplier mixed loading. Packing list filled in by the supplier. At destination port, cartons are missing, SKUs are wrong, barcodes won't scan.

Balance Paid, Claim Denied

Defects found after arrival. No evidence chain: no photos, no inspection, no document cross-check. Arguing back and forth, and nothing recovered.

Endless Communication, Endless Disputes

Seven spec revisions, mismatched quotes, sample vs bulk mismatch. Communication cost eats the margin before the goods even ship.

Five Execution Commitments, on Every Order

These aren't slogans. They're written into our Sourcing Agency Agreement and applied to every single purchase order.

01

Three No-Gos

IP infringement, unclear title, unclear payment. Any of these and we decline the order — and won't recommend that supplier.

02

Three Verifications

Verify the supplier (license, title, history), verify the goods (on-site + tightened sampling or 100% full inspection), verify the funds (deposit + segregation).

03

Four-Flow Alignment

Contract flow, goods flow, fund flow, document flow — all aligned on every order. Any flow mismatched: no release, no customs filing, no balance payment.

04

Three-Stage Payment

30% deposit to lock goods, 40% after inspection passes, 30% against B/L copy. For large orders: L/C, credit insurance, third-party escrow, or joint account.

05

Evidence Chain on Every Order

Emails, chat logs, photos, videos, inspection reports, trade documents, payment slips — all archived. Traceable, settleable, claimable, reorder-ready.

The Traps Others Fell Into, We've Already Blocked

Three real stock sourcing scenarios. Categories and brands have been blurred to protect client privacy.

On-site verification of factory overstock
Factory Overstock · Middle East Buyer

Listed 8,000 pcs, Usable Only 5,200

The quote listed 8,000 pieces. On-site verification found 1,200 moisture-damaged, 800 with missing accessories, 800 with severe appearance defects. Re-costed against the usable rate — avoiding a hidden 30% loss.

Client cost reduced 18%
Quality inspection on production line
Brand Liquidation · Africa Buyer

One Container Held Before Shipment

Brand authorization files were missing, but the supplier said "no problem." During document remediation, we caught this and paused customs filing until the supplier provided authorization. Avoided a possible customs hold and IP claim.

Potential claim risk avoided
Container loading supervision at port
Mixed Container · Southeast Asia Buyer

Five Suppliers, Zero Shortage

Five suppliers' goods. We consolidated them in our warehouse, re-sorted, re-packed, photographed, and supervised loading with full documentation. Zero shortage, zero mis-load, one-pass customs clearance at destination.

Zero shortage · one-pass clearance

Same Order, Two Very Different Outcomes

Every line below translates directly into how much margin you get to keep.

Stage Self-Sourcing Working With Us
Supplier Vetting Gut feeling, or a friend's introduction Business license + title to goods + track record, triple-verified
On-Site Verification Based on photos and videos On-site photos, videos, and measured usable rate
Inspection Standard Supplier decides; vague criteria Tightened AQL sampling or 100% full inspection for stock lots; critical / major / minor defect definition
Cost Calculation Based on listed quantity Based on usable rate; missing cost items flagged upfront
Payment Rhythm Lump-sum prepayment 30/40/30 split; L/C or credit insurance for large orders
Document Preparation Rushed, error-prone Item-by-item cross-check against physical goods
Container Loading Supplier loads and photographs alone Third-party on-site supervision; container and seal number photographed
Claims Handling Verbal disputes, usually nothing recovered Full evidence chain, contract-based settlement, deductible against next order

Running a long-term program? Let's talk deeper.

Category suggestions, exclusive supply channels, payment terms, brand authorization, annual purchasing agency — these go straight to our business lead.

Six Questions First-Time Buyers Ask

These are the questions we hear most from buyers starting their first stock sourcing order. Straight answers.

Two models: pure sourcing agency (commission on goods value) or buy-sell (we buy and resell to you). Agency fits long-term buyers with stable downstream clients; buy-sell fits one-off large orders or buyers with working-capital constraints. Rates depend on category, volume and payment terms — written into the quotation and never marked up mid-order.
Our standard action is simple: no release on failed inspection. If we find a major deviation during inspection, we reject the lot or require rework. If a problem surfaces after arrival, we settle per the contract's claim clause against the Inspection Report + on-site photos and videos + trade documents — either replacement, deduction, or offset against the next order.
Yes. If you already have your own supplier, we offer standalone inspection: on-site verification + sampling or 100% full inspection + report + photo and video evidence. Container Loading Supervision, document cross-check and DDP logistics can also be contracted separately. You don't need to switch suppliers just to use our QC or shipping services.
LCL consolidation is billed per CBM (cubic meter) or weight, whichever applies to your cargo type. Multiple suppliers' goods are first consolidated in our warehouse, then re-sorted, re-packed, photographed and palletized, before mixed loading per your instruction. Loading is supervised on-site with full photo documentation of container number and seal.
Within 24 hours. After receiving your requirement (product, quantity, destination country, Incoterms, target price), we run an initial assessment, match suitable suppliers, and return a quotation range. If on-site verification is required, we issue the formal quotation within 1 day after the site visit. Progress updates are proactive — you don't have to chase us.
Recommended: 30% deposit + 40% after inspection passes + 30% against B/L copy. For orders above USD 50,000, we can use L/C at sight or third-party escrow. For first-time cooperation, start with a small trial order — build trust, then scale. All funds move through the company account, never a personal one.
