FAQ

FAQ

Can inspection types be multi-selected? How is the price calculated?
Yes. Each type has its own price (Appearance 30, Packaging 30, Dimension 30, Function 40, DUPRO 50, PSI 40). Multi-select adds the prices together, then multiplies by the sampling coefficient. Example: Appearance + Dimension + Function = 30+30+40 = 100. With AQL 1.0 (1.4×) = USD 140. If a single type falls below USD 50, the minimum USD 50 applies.
Why is there no 100% inspection?
100% inspection is extremely labor-intensive and typically only used for very high-value precision products. It requires a separate quotation. This calculator covers regular inspection services up to AQL 1.0 (Strict). For full inspection, please contact our business team.
Can I select only one fund service?
Yes. Supplier Payment, Goods Receipt, Full Custody and Customs Assistance are independent. You can select one, several, or none. Common combinations: Pay only, Receive only, Pay + Customs, Receive + Customs, Full Custody (includes Pay + Receive, can add Customs). Selecting Full Custody auto-locks Pay and Receive to avoid double charging.
How to choose among the six procurement modes?
Repeat orders or low-risk categories: Remote Image Procurement (0.8×). Mainstream needs: Remote Video Procurement (1.0×). Small-batch customization: Remote Custom Procurement (1.2×). New categories or high-value orders: On-site Accompany Procurement (1.4×). OEM/ODM orders: On-site Custom Procurement (1.8×). Existing suppliers with inspection only: Inspection Only (0.3×).
Is Full Custody more cost-effective than separate Pay + Receive?
Depends on the amount. At USD 10,000: Pay only 0.5% = USD 50, Receive only = USD 30, total USD 80. Full Custody at 1.2% = USD 120. Separate is cheaper, but Full Custody includes fund custody, dispatch per instruction and unused balance return. Above USD 50,000, Full Custody's progressive rate drops to 0.8%–1.0%, becoming more cost-effective.
Can I commission inspection only, without procurement?
Yes. Select "Inspection Only" mode and enable the Inspection Service with your type and sampling selections. The Inspection Only coefficient is 0.3× with a minimum of USD 30/order, and does not involve payment or goods collection.
What does the USD 50 minimum inspection fee mean?
Regardless of how many inspection types you select, if the total after the sampling coefficient is below USD 50, the minimum USD 50 applies. This covers the basic labor cost of a single inspection (inspector attendance, report writing, photo documentation). Example: Appearance only (30) × AQL 2.5 (1.0) = 30, charged at USD 50.
Does customs assistance include duties?
No. The USD 50/order covers only document preparation and customs broker coordination labor. Duties, VAT, inspection fees and port charges are billed at actual cost to the client.

We operate by tier — high-end boutique, mid-tier general goods, and low-end volume goods — so that the market tier always matches the buyer's price positioning and target market.

Clients: Overseas importers, wholesalers, distributors, retail chains, Amazon / TikTok Shop / Shopify sellers, and brand owners.

Pain points solved: Information asymmetry, fear of being cheated, fear of wasting time on an overseas trip, fear of goods not matching samples, fear of mixed batches and color difference, fear of unexportable inner-market packaging, fear of one-lot-sold-multiple-times, and fear of non-compliant payment and foreign exchange settlement.

2. Pre-Visit Preparation (Before Buyer Arrives, 1–4 Weeks)

Product requirements: specific model, specification, material, color, target unit price, purchase quantity, style positioning, and sales channel.

Spot goods expectation management: We issue a written notice in advance explaining the characteristics of spot goods in China's specialized markets — batch color difference, minor workmanship defects, and tail-order packaging differences — and define a reasonable tolerance range to prevent after-sales disputes.

Export compliance requirements: destination country customs clearance rules, required certifications (CE, FDA, CPC, etc.), label / shipping mark / neutral packaging requirements, and pre-screening of restricted or prohibited categories and IP-infringing goods.

Transaction and logistics requirements: container type, trade mode, payment method, and foreign exchange collection and settlement path.

Reject verbal stock claims: We must verify the real physical stock at the stall by checking warehouse inventory data and physical stock piles to confirm the on-hand quantity meets the buyer's required quantity. This eliminates phantom stock and order-substitution traps.

Spot goods status verification: Distinguish brand-new white-label stock from another client's tail-order goods; confirm whether the packaging is neutral export packaging or inner-market packaging; and flag any packaging rework requirements in advance.

Supplier screening: Screen suppliers by the buyer's budget, quality tier, and export suitability, matching the correct market floor or district. Differentiate high-end boutique, mid-tier general goods, and low-end volume goods, and eliminate stalls with poor reputation or high IP risk in advance.

Route optimization: Plan the sourcing route by stall geography and category density to avoid wasted travel time and maximize on-site selection efficiency.

Pre-booking: Contact high-quality stalls in advance to reserve negotiated bulk-buy pricing and spot stock availability. Confirm the buyer's requirement list with the stalls so the on-site visit is productive from the first minute.

Pre-visit client briefing: Send the buyer the day's sourcing flow, market rules, spot goods sourcing notes, and expense settlement method in advance, so the buyer has full clarity and transparency throughout.

Inspection tools: tape measure, caliper, color card, thickness gauge, digital scale, flashlight.

Commercial documents: bilingual purchase confirmation, purchasing agency agreement, NDA (Non-Disclosure Agreement), PI (Proforma Invoice), packing list template, shipping mark template.

Reception items: business cards, company brochure, translation device, power bank, bottled water, wet wipes.

3. On-Site Sourcing & Purchasing (Buyer Present)

We provide full escorted reception. Before departure each morning we run a 5-minute in-car briefing: recap yesterday's progress, preview today's priorities and negotiation strategy.

We synchronize the day's sourcing focus, price band, and total purchase volume plan, and we control the sourcing pace so the buyer does not select blindly, exceed budget, or end up with a chaotic category mix.

Red-face white-face negotiation: We act as the buyer's interest advocate, pressing the factory for the best pricing, after-sales terms, return-and-exchange ratios, and packaging rework conditions. We stand on the buyer's side to build trust.

We regulate the buyer's on-site communication: the buyer should avoid negotiating directly or revealing their bottom price and total purchase volume, which protects their bulk-buy price advantage.

No fixed stall locking: We pre-screen high-quality benchmark stalls and provide multiple stalls at the same tier for the buyer to compare freely, balancing choice and sourcing efficiency.

Professional on-site inspection: Verify material, workmanship, dimensions, color, and function. Randomly sample warehouse bulk goods from the middle or bottom of stacks to detect mixed batches, defective units, and color difference.

Export packaging verification: Check carton hardness, sea-freight durability, and outer carton shipping marks on site. Detect inner-market packaging that does not meet export requirements and plan rework in advance.

Seal sample: Once the buyer confirms satisfactory goods, seal a bulk-goods sample on site and have both parties sign. This becomes the sole acceptance standard for later inspection and shipment.

Professional negotiation: Leverage the spot goods clearance nature and the buyer's long-term cooperation potential to secure price ladder tiers and bulk-buy pricing, balancing price and quality to avoid the risk of low-priced defective goods.

Term finalization: Confirm on site the unit price, quantity, total amount, delivery date, delivery address, defective return-and-exchange ratio, and packaging rework requirements. All verbal promises are put in writing.

Standardized order placement: Each order is numbered on site, handwritten for record, and photographed — one order corresponds to one stall, preventing mixed orders, missed orders, and wrong quantities.

Physical stock locking: After the deposit is paid, we supervise the stall as it applies a dedicated reserved label and isolates the goods. This eliminates one-lot-sold-multiple-times and the stock "toothpaste squeeze" problem where a factory releases stock in dribs and drabs after the deposit.

All purchase documents from the day are entered into a compact Excel reconciliation sheet the same evening — one order per row, summarizing each stall's goods payment, deposit, balance, and miscellaneous fees.

Double verification: Excel auto-sum plus manual calculator re-check, eliminating human calculation error.

Client confirmation: The same evening we send the Excel reconciliation sheet plus photographs of all original documents to the buyer for confirmation. Once confirmed, the bill is locked and becomes the sole basis for subsequent entrusted payment and final settlement.

4. Post-Visit Fulfillment & Export (After Buyer Leaves)

We remind every stall in advance to deliver on time to the designated market logistics collection point or supervised warehouse, preventing delay, wrong delivery, and missed delivery.

We receive all goods centrally, count cartons, quantities, item numbers, and styles, and spot-check quality and packaging integrity.

Problem resolution: If short shipment, wrong item, defect, or substandard packaging is found, we handle it directly with the stall for rework, replenishment, or exchange — the buyer does not need to intervene.

We pay each supplier strictly according to the buyer-confirmed Excel reconciliation sheet, order by order, keeping a payment voucher and record for every transaction.

The final master account itemizes total goods payment, sourcing agency service fee, freight, warehouse rent, and miscellaneous fees.

Transparent settlement: All expense vouchers are synchronized to the buyer, with refund for overpayment and supplementary charge for underpayment, so the account is fully transparent and traceable.

We consolidate goods from multiple stalls into one shipment, categorize and label them, and organize packing. For inner-market packaging that does not meet sea-freight standards, we perform export carton replacement, reinforcement, palletizing, and shipping mark application.

Final random inspection: Sample bulk goods according to the AQL 2.5 / 4.0 standard, confirming quality, quantity, and packaging all meet the standard before releasing the goods for shipment.

Small loose cargo: Consolidated and sent to the market logistics collection point for LCL shipment. Large cargo: Arrange direct container loading or warehouse entry by trailer.

Compliant operations: Same-day order entry into the system, generating real transaction records with goods-document consistency for compliant declaration.

Loading supervision: Photograph and video the entire container loading process, inspect container condition, record the seal number, and follow the full customs declaration, document review, inspection, and release process.

Document preparation: Prepare the full set of customs declaration and clearance documents, and synchronize the Bill of Lading, vessel schedule, and logistics milestones to the buyer.

Compliant foreign exchange collection and settlement, ensuring the fund flow, goods flow, and order flow are consistent and meet China's regulatory requirements.

Full document archiving: Order documents, reconciliation sheet, payment vouchers, inspection records, customs declaration, Bill of Lading, and foreign exchange settlement slip are archived together for audit readiness.

Long-term after-sales follow-up: Remind the buyer to prepare customs clearance before arrival, proactively ask for feedback after arrival, and fully handle claims and after-sales for damage, shortage, or quality issues.

5. Spot Goods Sourcing — Three Fatal Pitfalls and Countermeasures

Risk: The showroom sample is perfect, but warehouse bulk goods have defects or color difference. The buyer does not notice on site and claims after returning home.

Countermeasure: On-site inspection must be hyper-critical. Have the buyer sign and seal the bulk goods shipping sample on site. The contract must state: "spot goods allow X% reasonable color difference / defect".

Risk: Spot goods are usually in inner-market packaging (thin cartons, no shipping mark, no pallet), causing breakage or customs clearance problems on arrival.

Countermeasure: A carton compression test must be performed on site. If the packaging is inadequate, spend the money to have the factory switch to export-grade cartons — never take the gamble.

Risk: The factory claims 10,000 units in stock, but after the deposit is paid, it only releases 2,000 today and 3,000 tomorrow — or sells one lot to multiple buyers.

Countermeasure: The contract must specify the latest delivery date and a breach-of-contract compensation clause. Immediately after the deposit is paid, go to the warehouse for physical stock locking and keep photographic / video evidence.

6. Compliance Red Lines and Key Points

The customs declaration entity, the foreign exchange collection entity, and the relevant filing entity must remain consistent, achieving a full closed-loop supervision of goods flow, document flow, fund flow, and information flow.

The relevant online platform integrates customs, tax, and foreign exchange administration data to ensure "source traceability, controllable risk, and accountability".

All vouchers — purchase contract, customs declaration, foreign exchange settlement slip — must be retained for at least 5 years.

In agency procurement business, the agency must clearly define its agency role in the agreement and avoid signing a tripartite agreement that may confuse the legal relationship.

We recommend the agency signs the sales contract directly with the overseas buyer and signs the purchase contract independently with the supplier, ensuring the agency role, buyer relationship, and supplier relationship are clearly separated in all contractual documents.

An enterprise without import-export qualification purchasing another company's customs declaration form to import or export goods circumvents customs supervision and easily derives into criminal offences such as export tax fraud and falsely issuing VAT special invoices.

With the Golden Tax Phase IV system and big-data interconnection between customs and foreign exchange authorities, any non-compliant operation carries extremely high legal and operational risk.

7. Four Core Client Service Principles

Spot goods shortcomings, potential risks, and extra packaging costs must be clearly communicated before the visit — never spring a surprise on site.

Don't just say "we inspect strictly" — take out the caliper and measure in front of the client. Don't just say "the goods are locked" — send a video of the reserved tag being applied.

When a disagreement arises between the buyer and the factory, the agency must act as a buffer, using professional solutions to resolve the conflict — not just act as a messenger.

In the post-visit fulfillment stage, the frequency of proactive reporting is never too much. 90% of client anxiety comes from "not knowing the progress".
